How to Take Your Bag Design from Sketch to Sample: A 6-Stage OEM Guide

"Most people send 3 photos and 1 sentence in their first inquiry. Then they never hear back."

In 17 years of OEM manufacturing in Dongguan (Since 2008), I've watched too many B2B buyers lose their first custom project before it ever started. The sketch was too vague. The material wasn't confirmed. The sampling fee wasn't clear. Or the worst one: they kept changing the design after the Golden Sample was sealed.

Going from "I have an idea" to "I'm holding the perfect sample" takes exactly 6 stages. Get each one right, and your timeline and budget stay locked. Miss one detail, and both double.

1. The OEM Journey: 6 Stages at a Glance

Stage You Do We Do Timeline
① Requirements Send sketch / reference + dimensions + budget Feasibility review, material proposal, quotation 1–2 days
② Material Selection Confirm fabric weight, color, zipper spec Ship swatch book, hardware samples 2–3 days
③ Pattern & Sampling Approve pattern direction Paper pattern → mock-up → final sample 5–7 days
④ Golden Sample Inspect sample, sign off Seal & archive as Golden Sample with photo evidence 1 day
⑤ Refinement Submit revision requests (typically 2–3 rounds) Iterate and re-sample per round 3–5 days/round
⑥ Bulk Confirmation Final sign-off, place bulk PO Enter mass production via 5-gate QC system

2. Stage-by-Stage Deep Dive

① Requirements (1–2 days)

The best inquiries come with three things: a reference image + target dimensions + a budget range. No design skills? Take a photo of a competitor's product and annotate "change to X color, Y size" — that's perfectly fine. Our pattern maker evaluates feasibility within 24 hours and returns a preliminary quote. No time wasted.

② Material & Hardware Selection (2–3 days)

This is the stage where OEM projects most commonly derail. The "navy blue" in your head might be "dark denim" to the factory. Our standard: we ship a physical fabric swatch book to your address. Both parties confirm color under a D65 standard light source. We also lock in zipper brand (SBS / YKK), buckle material (zinc alloy / iron), and lining spec.

③ Pattern & Sampling (5–7 days)

This is Driulug's strongest advantage. Our pattern makers sit on the same floor as the production line. Your morning revision request reaches the pattern table by afternoon. The flow: paper pattern sign-off → mock-up (structural test with stock fabric) → final sample (your specified fabric + hardware + logo). 7–10 days from sketch to physical sample.

④ Golden Sample Sign-Off (1 day)

Once the final sample is complete, we shoot high-res multi-angle photos for your review. On approval, both parties sign the sample and archive photos. This becomes the Golden Sample — the contract standard from which no deviation is permitted. Any post-delivery dispute is resolved against the sealed sample.

⑤ Refinement Iterations (2–3 rounds)

First-sample accuracy rate is approximately 30%. Our operational data across hundreds of OEM projects shows: average 2.3 revision rounds per project, with 70% confirmed within 2 rounds, and a sampling-to-approval median of 12 days. Most projects need 2–3 rounds of fine-tuning — maybe the pocket depth is 1cm too shallow, or the strap foam needs thickening. Critical rule: be specific in revision requests. "Softer strap" doesn't help. "Add 3mm EVA foam to the strap" does.

⑥ Bulk Confirmation

Golden Sample locked → hand off to our 5-gate QC system → mass production begins. All you do is wait for the container to arrive.

3. FAQ — OEM Bag Development for B2B Buyers

Q: I don't have a professional design file — just a photo on my phone. Can you still do OEM?
A: Absolutely. Most Driulug OEM projects start with nothing more than reference photos. Our pattern maker can reverse-engineer dimensions and structure from a photo, delivering a preliminary proposal within 24 hours.

Q: How much does sampling cost? Is it refundable?
A: Sampling fees depend on complexity, typically $50–$200. At Driulug, the sampling fee is 100% refunded when you place the bulk order. Sample shipping is covered by the buyer, usually $30–$60 via international express (3–5 days).

Q: If the first sample isn't right, do I pay for revisions?
A: The first 2 revision rounds are included — they're part of normal iteration. From round 3 onward, if the changes are substantial (e.g., switching fabric type or restructuring), a small correction fee may apply.

Q: How fast can samples reach me in the US or Europe?
A: Typically 3–5 business days via DHL / FedEx / UPS. We select the fastest route with the lowest customs friction.

Q: Can I complete the entire OEM process without traveling to China?
A: Yes. About 90% of Driulug's OEM clients manage the full workflow — from requirement review to Golden Sample sign-off — entirely through WhatsApp and email. We provide high-res photos and live video walkthroughs. Remote inspection is fully supported.
